Communication Expectations

Imanzi’s Communication Expectations


Imanzi provides support for mostly minors. The educator works with the learner, but communication about the learner happens primarily through the parent/guardian. This creates a professional boundary while still allowing the tutor to build a positive relationship with the child. It is important to keep the child’s voice and safety at the center of practice. Educators will not communicate with learners through personal email, personal phone numbers, texting, social media, or private messaging accounts. Tutors/Educators should not:

  • Text learners directly
  • Call learners on a personal phone
  • Follow learners on social media
  • Accept friend/follow requests from learners
  • Communicate through gaming platforms
  • Communicate through personal messaging apps
  • Give learners personal contact information
  • Meet learners privately outside the tutoring program
  • Send personal photographs to learners
  • Give gifts to individual learners without program approval


  • Scheduling issues, progress reports, questions about homework, lesson communications must be communicated between the parent/guardian and educator. 
  • A parent or guardian must be present in the home and available to the learner and tutor throughout each online tutoring session. For learners under 8 years of age, a parent/guardian is expected to remain within hearing distance of the tutoring session.
  • The safety, privacy, and well-being of every learner are a priority. Because tutoring sessions are conducted online, the following guidelines have been established to provide a secure, professional, and supportive learning environment for learners and families.


Zoom Sessions

  • All online tutoring sessions will be conducted through the program's designated Zoom account. Meeting links and access information are provided only to the parent/guardian and should not be shared with others.
  • To help protect the privacy and security of each session:
    • A unique Zoom meeting link will be scheduled for the learner, rather than using a public or shared meeting link.
    • A meeting passcode and Waiting Room will be used whenever available and appropriate.
    • The tutor will admit the learner to the session from the Waiting Room.
    • Screen sharing will be restricted to the tutor unless the learner is specifically asked to share their screen.
    • Private communication between the tutor and learner outside the approved tutoring platform is not permitted.


Learner Expectations

Learners are expected to participate in tutoring sessions in a respectful and appropriate manner. Learners should:

  • Use their first name or the name designated by the parent/guardian.
  • Participate from an appropriate location.
  • Keep personal information private.
  • Never share the Zoom meeting link with another person.
  • Tell a parent/guardian or tutor if something during an online session makes them uncomfortable or concerned.
  • Follow the tutor's instructions regarding the use of the camera, microphone, chat, screen sharing, and other Zoom features.


Recording and Privacy

  • Tutoring sessions will only be recorded with prior written consent.
  • If a session is recorded for an approved educational or administrative purpose, the parent/guardian will be informed in advance of the purpose of the recording, how it will be stored, who may have access to it, and when it will be deleted.
  • Parents/guardians should not independently record, photograph, screenshot, or distribute a tutoring session without prior permission from the program and the tutor.


Parent/Guardian Communication Schedule

  • After each lesson, the educator/tutor will complete a brief lesson summary and email it to the parent/guardian.
  • A detailed report will be provided to the parent/guardian of the student every 6 weeks. The report would include progress toward goals, areas for continued development, learner’s strengths, recommendations, and home practice information.
